Construction Document Control Software: Capital Project Systems vs Everyday Tools
Construction document control compared: full audit-trail systems for capital projects, plan and markup tools, specs and submittals, and signature platforms.
August 5, 2026
Ask five construction teams what document management means and you get five answers. The owner's rep on a hospital program means controlled revisions with a full audit trail. The superintendent means current drawings on a tablet. The PM means submittals that stop living in email. The office means signed contracts filed where anyone can find them.
Those are different jobs, and the software splits along the same lines. ConTechFinder lists 41 tools in Document Management. This guide covers the construction-native ones by the job they do.
Full document control for capital projects
These systems exist for one reason: on regulated, multi-party work, you must prove who saw which revision and when. Controlled workflows, transmittals, and audit trails are the product, and pricing is custom across the board.
InEight Document delivers document control for capital projects with configurable review workflows and a full audit trail, and carries FedRAMP authorization, which matters to anyone working federal or public infrastructure. It connects to the wider InEight platform, so controlled documents sit beside cost and schedule instead of in a separate silo.
Aconex built its reputation as the neutral document platform on megaprojects. Every organization controls its own data, correspondence is tracked as a first-class record, and the audit trail has held up in disputes. Oracle owns it now, and it remains a default on large international programs.
Coreworx focuses on information management for large capital projects, with document control plus interface management between contractors, a discipline the energy sector in particular relies on.
Kahua Documents handles controlled documents inside Kahua's asset-centric project platform, a fit for owners who want document control living with the rest of their program management.
Newforma takes a different angle: project information management that indexes documents and email where they already live, aimed at architects and engineers drowning in correspondence rather than owners enforcing revision control.
Meridian by Accruent manages engineering documents for owner-operators, with version control built for facilities that outlive their construction phase by decades.
Drawings, markup, and the daily working set
Most teams touch these tools far more often than the control systems above.
Bluebeam Revu is the industry's PDF workhorse at $260/year: markup, measurement, custom tool sets, and Studio sessions where the whole team marks the same set in real time. If a construction office owns one document tool, it is this one.
Autodesk Docs provides the common data environment inside Autodesk Construction Cloud at $85/user/month, with version control and markup connected to the rest of the Autodesk stack. Teams already in BIM 360 or ACC get document management without adding a vendor.
SmartUse puts current plans on jobsite tablets from $29/user/month, built for viewing and field markup rather than office workflows.
Specs and submittals
Two tools handle the paper that actually gates construction progress.
Pype AutoSpecs reads the spec book and extracts submittal registers automatically, cutting the manual pass where PMs highlight requirements line by line. Autodesk owns it, and it feeds submittal logs into downstream workflows.
SpecsIntact is the free, government-maintained system for preparing standardized facility specifications, required reading for anyone producing specs on US military and federal work.
Signatures and contracts
DocuSign remains the default for getting agreements signed, with agreement workflows that go beyond the signature itself. PandaDoc competes on proposal and contract creation speed, with templates and tracking built in. Both run freemium or paid tiers rather than custom enterprise pricing.
General platforms with construction editions
Box (from $15/user/month) and Egnyte bring enterprise file sharing, governance, and AI-driven data extraction to construction content. Neither replaces a controlled document register on a capital project, but for firms whose problem is secure file chaos rather than revision control, they solve it at commodity pricing.
How to choose
Does an auditor, owner, or lawyer ever ask who saw revision C? If yes, you need the capital-project tier: InEight Document, Aconex, or Coreworx. If no, you are paying for ceremony you will not use.
Is the pain in the office or the field? Field teams need current drawings on a device: SmartUse or Bluebeam. Office teams need workflows: the control systems or Autodesk Docs.
Where does the rest of your stack live? Autodesk shops should exhaust Autodesk Docs before adding a vendor. InEight shops get document control on the same data model as cost and schedule. Standalone tools earn their place when they beat the incumbent at a specific job, the way Bluebeam does markup.
How much of the problem is email? If the answer is most of it, Newforma addresses the actual disease where document registers only treat symptoms.
